How it works
Welcome! Here's a quick tour of the calendar's features. This pops up once a year; you can open it any time from How it works at the top.
Signing in
Pick your name and enter your PIN. Your first PIN is a temporary one from an admin; you'll be asked to choose your own right away.
Change it any time with Change PIN at the top. Forgot it? An admin can reset it.
On a phone, add the page to your Home Screen so it opens like an app (needed for alerts on iPhone).
Reading the calendar
The colored pill in each day's corner is the route whose rotating day off (RDO) falls that day. City 7 and T6 share the T6/7 day.
When you're signed in, your own RDOs are highlighted yellow ("Your day off") and days you're on leave are green ("Your leave"), including a day off that got locked in with your leave.
Pick a view at the top: Month (the calendar; on a phone, tap a day to see it under the calendar), Week (one week with full details, use ◀ ▶), or List (every day of the month in a list). Your choice is remembered on that phone or computer.
Scroll view (the phone default): every month in one long scroll. Each day is a tile showing who's on leave (first 3 letters of their name, dashed = open slot) and a colored strip with whose day off it is (a red H# on the strip = that route's designated holiday). Green = your leave, dark outline = your day off, grey = full, navy circle = today. Tap a day to see full names and to take or give back leave. Key explains the colors, Today jumps back, and Open days only fades days you can't take.
December exclusion: Dec 1–24 is peak season and is greyed out. No one can sign up for those days, and the week of Nov 29 can't be taken as a week because it runs into Dec 1. Admins can still add someone for an approved exception.
A red bar is a postal holiday. A red outlined HOL # pill is that route's designated holiday (the day before, when the holiday lands on its RDO).
Each work day has two leave slots: at most 2 people off per day.
Your day off locks in with your leave. If you take the day before or after your RDO, your name is also put on your RDO (0 hrs) and it takes one of that day's slots. Sundays and holidays connect: taking Monday after a Fri/Sat RDO locks in both, and a holiday next to your day off locks in the same way. You can't pick your RDO by itself; bracket it or take the whole week. If the RDO already has 2 people off, your leave still counts and the RDO just isn't filled in. Give back the day next to it and the RDO slot opens again.
Gray striped days belong to the 2026 or 2028 leave year and can't be picked. The 2027 leave year runs Jan 10, 2027 to Jan 8, 2028.
Subs have no RDO, so nothing is highlighted for them.
Sign-up rounds
Pass 1: in seniority order, one person at a time, take up to 3 full Mon–Sat weeks. Tap Take week on the Sunday. You can give a week back (the whole week) until you tap I'm done.
Pass 2: same order. Take any days (+ Take day) or weeks. You can give back single days until you tap I'm done.
Each turn lasts 72 hours. The banner shows the time left. Tapping I'm done locks your picks and passes the turn on; after that only an admin can change them.
Open sign-up: after the passes, anyone can take open days, first come, first served. You can give back days you took during open sign-up with the ×, and everyone is notified the day is open. Pass 1 and Pass 2 days still need an admin.
Closed: no more sign-ups. See an admin for changes.
Hours used
Each leave day counts 8 hours. Your total is in the box at the top left, split by pass.
Your own RDO and designated holiday count 0 hours, so they show as "RDO" or "HOL" next to your name and don't use leave.
Tap Set my AL balance in the top bar and enter your annual leave hours. The bar then shows hours AL left after everything you've signed up for (red if you're over). Only you can see your balance. Tap the hrs AL left figure (or details) for a breakdown: your balance, hours by round, and every stretch of leave with its hours and slip status. Tap a stretch to jump to it on the calendar.
Leave slips
Tap your name on any leave day to open its slip. One slip covers a run of back-to-back days.
Check Slip filled out once you've turned it in. A green ✓ appears on those days.
Tap Take photo of slip to snap the signed copy with your phone camera. Only you and admins can see it.
The top bar reminds you how many runs still need a slip.
Notifications (the bell)
The bell at the top left lists days people gave back and days they signed up for, newest first. A red number means new ones since you last looked.
On a give-back during open sign-up, tap Take to grab the day right from the list, or Show on calendar to jump to it.
Phone alerts: how to set them up
Alerts buzz your phone even when the page is closed. Set them up once on each phone or computer you use.
iPhone / iPad (iOS 16.4 or newer, Safari):
Open this page in Safari (not Chrome or a texted link preview).
Tap the Share button (square with an arrow), then Add to Home Screen, then Add.
Close Safari and open the new Leave icon on your Home Screen. Sign in there.
Tap Turn on alerts at the top, then Turn on alerts again, and tap Allow.
Tap Send test alert to make sure it works.
Android (Chrome):
Open this page in Chrome and sign in. (Optional: menu ⋮ → Add to Home screen.)
Tap Turn on alerts at the top, then Turn on alerts, and tap Allow.
Tap Send test alert.
Computer (Chrome, Edge, Firefox or Safari): sign in, click Turn on alerts, then Allow when the browser asks.
Choose which alerts you get: tap Turn on alerts / Phone alerts at the top (or Choose phone alerts in the bell list) and check or uncheck:
Days given back: someone took their name off a day, so a slot opened.
New sign-ups: someone signed up for a day (only sent during open sign-up).
My turn: you're next, your turn started, 12 hours left, or an admin gave you more time.
Turn time ran out (admins only): someone's 72 hours ended.
All are on to start. The bell list on the page always shows everything; these choices only decide what buzzes your phone.
Not getting alerts?
iPhone: make sure you opened the page from the Home Screen icon, not Safari. Check Settings → Notifications → Leave is allowed.
Android: Settings → Apps → Chrome → Notifications must be on, and this site must be allowed (Chrome ⋮ → Settings → Site settings → Notifications).
If you tapped Block by mistake, allow notifications for this site in your browser settings, then tap Turn on alerts again.
Focus / Do Not Disturb modes can hide alerts.
New phone or cleared your browser? Turn alerts on again on that device.
Phone calendar
My phone calendar makes a private link that adds your leave, RDOs, designated holidays and postal holidays to your phone's calendar. It refreshes on its own.
Keep the link to yourself. Make a new link turns off the old one.
History
History shows every change: who did what and when, including anything an admin did for someone.
For admins
The orange admin bar switches the round (Not open → Pass 1 → Pass 2 → Open → Closed), moves the turn, and adds 24 hours to a turn.
People & PINs: add people, set seniority order (↑ ↓), set each person's route (or Sub), choose who picks, reset PINs, and see everyone's hours and missing slips.
Edit any day lets you add or remove anyone on any day, even locked picks. Removals during open sign-up notify everyone.
With Edit any day on, tap + 3rd slot on a day to allow 3 people off that day. Anyone can then take it. Tap − 3rd slot to close it again (it must be empty).
